Email makes sending a private document feel finished in seconds. Attach the file, choose a name, press send. The difficult part starts later if that attachment travels beyond the person you intended to receive it.
An ordinary PDF or image usually remembers very little about its route. The filename can be changed, message history can be lost and several recipients may all have identical copies. ExactMark Imprint provides a more accountable workflow without asking the recipient to install anything.
Decide whether the file really needs to be sent
Before adding protection, make the simplest security decision first: share only what is necessary. Remove pages, fields or images the recipient does not need. If a secure portal is available and appropriate, prefer controlled access over a permanent attachment.
File marking is an additional layer. It is not a reason to distribute more personal or confidential information than the task requires.
Finish the document before creating copies
Prepare one final source file and check it carefully. Last-minute editing after individual copies have been generated creates confusion about which version each person received.
ExactMark Imprint accepts PNG, JPG, WEBP and PDF files. If your source is a Word document, spreadsheet or presentation, export the finished version to PDF first.
Make one copy for each person
Upload the source to ExactMark Imprint, enter the intended recipient and generate their marked copy. Repeat the process for every additional recipient.
If Taylor and Jordan both need the same report, they should receive two separately generated outputs—not one attachment sent to both. Each output carries a different hidden signal linked to its intended recipient.
The recipient opens the file normally. They do not need an ExactMark account, special PDF reader or browser extension.
Send the right copy to the right person
Recipient-linked protection only works as clearly as the distribution process around it. Use accurate names, double-check attachments and avoid dropping several generated copies into one shared folder where they can be mixed up.
For repeated distributions, a simple checklist helps:
- Confirm the final source version.
- Generate one Imprint copy per recipient.
- Match the output to the correct email or secure message.
- Record any recipient added after the original distribution.
- Restrict access to the ExactMark workspace.
Understand what is—and is not—happening
ExactMark Imprint does not track the recipient, monitor their device or report whenever the file is opened. It places a recoverable identity into the copy before it leaves you.
It also cannot stop a determined person from forwarding, photographing, cropping or editing material. The purpose is to preserve a source signal that may support a later investigation. Recovery depends on what remains in the evidence, so results are confidence-scored rather than presented as automatic proof.
If the document comes back
Keep the best available version and avoid repeatedly editing or exporting it. Submit the surfaced file or image to Evidence Lab and search ExactMark Imprint records. Review the full result, including confidence and competing candidates, then compare it with your normal sending records.
Do not accuse a recipient from an automated result alone. Their copy may have been accessed or redistributed by someone else. Attribution identifies the likely copy behind the evidence; surrounding context is still essential.
The safest email is often the one you did not need to send. When a sensitive attachment is necessary, giving every recipient a distinct copy means its history does not have to disappear the moment you press send.
